Create Dropdown Lists with Data Validation in Excel

Dropdown lists in Excel help keep data consistent, reduce input errors, and make your sheets more user-friendly. With Excel’s Data Validation feature, you can quickly turn any cell into a dropdown menu of predefined values.

🛠️ How to Create a Dropdown List:

  1. Select the cell(s) where you want the dropdown.

  4. In the “Source” field, type the values separated by commas (e.g., Yes,No,Maybe), or select a cell range that contains the list items.

📌 Bonus Tip – Use a Dynamic Named Range:

If your dropdown source might grow, define a named range and use it in the Source:

=TaskStatus

⚠️ Common Pitfalls:

  • Make sure no blank cells are within your source list
  • Limit to 32,767 characters for the entire list
